JOB SUMMARY
We are looking for a highly-skilled, detail-oriented finance coordinator who excels at multitasking to assist with accounts payable, purchasing, grants management, and bank deposits. The individual will be responsible for helping the finance department’s operations, processing financial reports, and serving as a liaison between the finance team and other department personnel. The finance coordinator should possess a strong understanding of accounting principles and financial reporting. Individual must be proactive, attentive, and committed to accuracy and process improvement.
JOB SPECIFICATIONS
Responsibilities/Duties
- Work with other members in the finance team to compile, analyze and report financial data
- Preparing weekly, monthly, and yearly financial reports and budgets.
- Assist with month-end and year-end financial statements
- Makes journal entries
- Ensure financial records are complete and accurate
- Ensure bills are paid in a timely manner and mailed weekly
- Maintain the accuracy of financial records and internal controls
- Stay current on the company, local, state, and federal financial regulations and policies
- Provides invoice documentation support for Audit and Contract requirements
- Deposits organizational receipts and records transactions in accounting system
- Cross-trained with vendor purchasing and processing of Laboratory Invoices.
- Assists with 1099 preparation
- Special projects as assigned
Qualifications
- Bachelor’s degree or equivalent experience, 4+ years of experience in bookkeeping, accounting or related field

- Ability to prioritize and multi-task in a fast-paced environment
- Ability to handle confidential information in a discreet, professional manner
- Excellent oral and written communication skills
- Excellent organizational and analytical skills
- Ability to be an effective team member and display initiative
- Maintains good working relationships with Funders, Contractors, and Staff Members
Work Environment: Standard office setting with extended periods at workstation and periodic use of office equipment. Staff are expected to come into the office; based on conversations with supervisor, a combination of in-office and remote work may be allowed per HFP policy.
Position Type and Work Schedule: Full time position, typical hours are Monday through Friday 8:30 am to 5:00 pm.
Travel: Occasional travel to off-site locations with weekly travel to local bank branch
Physical Demands: Must be able to sit, stand and walk for up to 2 hours at one time. Routinely moves documents weighing up to 10 lbs.
