JOB SUMMARY
The Philadelphia Department of Public Health (PDPH), through its Immunizations program in the Division of Disease Control, oversees the purchase and distribution of federally funded vaccines to local healthcare providers. As one of 64 U.S. Centers for Disease Control and Prevention (CDC) funded program areas, the Philadelphia Immunization Program is charged with the mission to prevent vaccine-preventable diseases and increase the immunization coverage levels among infants, children, adolescents and adults in Philadelphia. PhilaVax Immunization Information System (IIS) is tasked with collecting and housing all immunization data for the City of Philadelphia. The information it houses is used to support DDC operations and is the primary source of operational information for the Immunization Program. The IIS Modernization Coordinator’s primary role is to provide support and oversight to the IIS Modernization team. The IIS Modernization Coordinator will provide direct support to current or future IIS Modernization projects either as a team lead or the project lead. Team support will be conducted through check-ins with individual members, and assistance, when needed, with day-to-day tasks, and through personal mentorship. They will also be responsible for ensuring that communications coming into and out of the IIS Modernization Section are routed to the proper personnel or inboxes and are responded to in a timely and professional manner. They are also expected to temporarily provide additional coverage for the IIS Data Specialists in their absence, providing updates to the IIS Manager and Immunization Program Manager and supporting stakeholders as needed. The IIS Modernization Coordinator will also provide routine reports on projects, workflows, communications, and staff issues to the IIS Manager, and ad-hoc reports to the Deputy IIS Manager, Deputy Immunization Program Manager, and Immunization Program Manager, as needed. An ideal candidate will be a patient and effective communicator, with a high degree of personal organization. They will need a strong interest in IIS activities and have a demonstrated willingness to self-educate. This position will work closely with the IIS Manager and other staff to ensure that the program is prepared to respond to public health emergencies and able to effectively manage resources associated with Immunization Program programmatic activities.
This position is Monday through Friday, 8:30 a.m. to 5:00 p.m., with occasional work after hours and on weekends to support program activities. This is a grant-funded position; continuation of the position is contingent upon sustained funding.
JOB SPECIFICATIONS
Responsibilities/Duties
- Lead, participate in, support modernization projects as directed.
- Work with the IIS Manager to assess current IIS workflows.
- Route and respond to communications received by the IIS Modernization section and ensure that routine communications are answered within 2 business days.
- Attend the IIS Stakeholder meeting and report on IIS Modernization projects as needed.
- Conduct yearly assessment of IIS SOPS for modernization and compile a report for the IIS Manager that identifies SOPs that are candidates for modernization and highlights areas that need additional SOPs.
- Provide oversight and support of the IIS Modernization team.
- Create a method for identifying which users have access to security sensitive permissions. Actively monitor users with sensitive security permissions and provide reports to the IIS Manager along with requests for access to security sensitive permissions.
- Provide routine updates to the IIS Manager on the state of modernization projects and communicate the need for any additional resources.
- Provide routine updates on the state of various maintenance projects.
- Regularly communicate any issues or concerns to IIS leadership and immunization program leadership
- Willing to assist in a public health emergency.
- Facilitate onboarding of Immunization Program staff
- Other duties as required.
Education

A bachelor’s degree, (Public Health, Health Informatics, Informatics, IT, Biostatistics, Public Administration, or similar field preferred) and 2-3 years of experience in IIS with demonstrated increase in responsibility and proven understanding of applications and stakeholder engagement.
Or
- A master’s degree in public health, Health Informatics, Informatics, IT, Biostatistics, or Public Administration with 1 years of experience in IIS with demonstrated increase in responsibility and proven understanding of applications and stakeholder engagement.

Work Environment: Standard office setting with extended periods at workstation and periodic use of office equipment.
Position Type and Work Schedule: Full time, in-office position, typical hours are Monday through Friday 8:30 am to 5:00 pm. Employees are required to be in office five days per week. Work location TBD but will be in either Center City or South Philadelphia.
Travel: Some travel may be necessary provided that public health guidance allows it.
Physical Demands: Must be able to lift 25lbs.
